The work of this dissertation deals with the issue of document management, evaluating that documents play a key role in every business process, particularly in Real Estate Management. The study starts with the internship experience in the Area Immobiliare of Poste Italiane. The company manages in all of components its assets, and is the holder of a stream of documents, which must be handled appropriately to ensure future knowledge of the property. The thesis can be divided into two parts. In the first we will analyze all the documents that will be involved in the structure, and through the study of some factors, an analytical methodology has been developed to determine criticality document holders. In the second part, the case study was focused on the analysis of the process of stipulating passive lease contracts belonging to the Agency / Property area. The goal is to demonstrate how documents within a process can lose control of process time management as critical and uncertain elements. This study has been carried out by applying to the process a series of Project Management tools and methodologies such as Time Management theory, simulating scenarios related to the critical points of the latter, to demonstrate what happens when unexpected events occur. The result is that documents belonging to the process due to inaccurate failures or actions by operators can affect the whole process, resulting in increased risks associated with time, blocking or cancellation of the process. In addition to managing the update and retention of documents, you need to be able to deduce the risks and the criticalities that they can create, anticipating events, or modifying the procedures.
Il lavoro di questa tesi si occupa del tema della gestione documentale, valutando che i documenti svolgono una funzione chiave all’interno di ogni processo aziendale, in particolare nell’ambito della gestione immobiliare. Lo studio parte dall’esperienza di tirocinio avvenuta nell’Area Immobiliare di Poste Italiane. L’azienda in questione, gestisce a trecentosessanta gradi il proprio patrimonio, ed è detentrice di un flusso articolato di documenti, che devono essere gestiti opportunamente per garantire la conoscenza futura degli immobili. La tesi può essere suddivisa in due parti. Nella prima verranno analizzati tutti i documenti che intervengono nella struttura, e tramite lo studio di alcuni fattori, si è sviluppata una metodologia analitica per determinare i documenti detentori di criticità. Nella seconda parte, il caso studio è stato incentrato sull’analisi del processo di stipula dei contratti di locazione passiva appartenente all’area Agency/Property. L’obiettivo è di dimostrare come i documenti all’interno di un processo possano far perdere il controllo della gestione del tempo del processo, in quanto elementi critici e di incertezza. Tale studio è stato portato avanti applicando una serie di strumenti e metodologie del Project Management come la teoria del Time Management al processo, simulando degli scenari legati ai punti critici di quest’ultimo, per dimostrare cosa accade qualora si presentino degli eventi inaspettati. Il risultato è che i documenti facenti parte del processo a causa di mancanze o azioni non corrette da parte degli operatori possano impattare sull’intero processo, generando così l’aumento di alcuni rischi legati al tempo, al blocco o annullamento del processo. Quindi oltre a gestire al meglio l’aggiornamento e la conservazione dei documenti, è necessario essere in grado di dedurre i rischi e le criticità che essi possono creare, anticipando gli eventi o modificando le procedure.
